Handling Late Fees

How and when late fees get applied, and how to trigger them manually.

Every morning, LeaseLoop automatically checks all pending payments. Once a payment is past its unit's grace period, it's marked Late and the unit's late fee amount is applied - the tenant contact also gets an overdue email at that point.

Running it manually

If you don't want to wait for the automatic daily check, the Payments tab has a Process Late Fees button that runs the same logic immediately for your account (this manual run doesn't send the overdue email - only the automatic daily check does).

Good to know

  • A late fee is only ever applied once per payment - it won't stack if a payment stays late over multiple days.
  • A late fee can never exceed 100% of that unit's monthly rent, whatever amount you set.
  • The grace period counts from the day after rent is due, using each unit's own grace period setting (see Configuring Payment Settings for the account-level default).
  • Changing your default late fee policy only affects units you create afterward - edit an existing unit directly to change its fee or grace period.
